Updated 6 November 2026
Automations are when – then rules under Domain → Automations. Managing them requires permission to edit the domain's settings.
Conditions and actions #
| When | Example |
|---|---|
| When stock falls below the reorder level | Add the item to the shopping list |
| When a warranty ends (days in advance) | Create a task 30 days before |
| When a batch expires (days in advance) | Send a notification |
| When a task is marked done | Record an expense from the task's field |
Actions: Add to shopping list, Send a notification, Create a task and Record an expense. Some actions need an app (e.g. shopping list or finance).
Recording an expense from a task #
To record a task's cost in finance, first add a number field to tasks (e.g. Cost) on the Tasks tab of Attributes and choose it in the automation.
When automations run #
Automations run when things happen and every hour. Each thing is handled once, and every run appears in the activity log. You can turn an automation off without deleting it.
